Privacy & Legal Policies

Saltech AI is an AI platform built by Saltech Systems for teams. It brings meeting intelligence, an assistant that knows your company knowledge base, digital employees, document summarization, scheduling, and a growing set of integrations into one workspace. Depending on your plan it may also include clinical and healthcare tools. This page describes the platform, the data it handles, and the rules that govern its use.

What the platform does

• Meeting intelligence — an agent can join your Zoom, Microsoft Teams, or Google Meet calls to record, transcribe, diarize, and summarize them, and to extract action items and decisions.
• Assistant chat — an agentic assistant answers questions over your organization's knowledge base and the web, generates images, and can remember facts you tell it to help future conversations.
• Digital employees — configurable agents (for example a marketing employee) that plan and carry out recurring work on a schedule with human approval.
• Summarizer and notes — upload documents or capture voice notes and get structured summaries.
• Scheduling and tasks — a calendar and task engine that plans recurring work and syncs action items to the tools you connect.
• Integrations — connect meeting platforms, calendars, mail, and workspace tools such as Slack, Asana, Jira, and Notion.

The social publishing feature

The social publishing feature lets a digital marketing employee take content from your brand context and prompts, draft platform-ready posts and images, place them on a recurring content calendar, and route each one to a person for approval. Once you connect a social account and turn publishing on, approved posts are sent to the networks you selected, and the platform reads back post analytics so it can verify performance and schedule follow-ups.

Direct publishing to some networks is still being rolled out. Where it is not yet available for your account, the feature prepares the post and its media for a person to publish manually. Nothing is ever posted without (1) a social account you connected yourself and (2) publishing explicitly enabled, and every post passes through your approval step first. You can disconnect a social account at any time from the Integrations page, which stops all future publishing to that account.

This Privacy Policy explains what account data Saltech AI collects, why we collect it, where it goes, and how you can delete it. It applies to the Saltech AI web application and its backend services. It supplements the general Saltech Systems website policies at the end of this page.

1. Account data we collect

We collect only what the platform needs to work for you and your team:

• Account and profile — your name or username, email address, a securely hashed password, your role and department, and preferences such as language and time zone. If you enable two-factor authentication we store the secret needed to verify your codes.
• Authentication and session data — session tokens, sign-in timestamps, and last-seen activity used to keep you logged in and to secure your account.
• Content you create — chat sessions and messages, assistant "memories" (facts you or your admin ask the assistant to remember, personal or company-wide), documents and files you upload, knowledge base files, and voice notes, along with text extracted from those files.
• Meeting data — where you use the meeting agent: meeting records, audio recordings, transcripts and speaker diarization, participant names and email addresses, and the action items and summaries produced from them.
• Connected accounts — when you connect a third-party service (for example Zoom, Google, Microsoft, Slack, Asana, SmarterMail, or a social network) we store OAuth access and refresh tokens, the account or user ID, username, and email on that service, the workspace name, and the permission scopes you granted. Tokens are encrypted at rest.
• Social publishing data — post drafts, generated images, scheduling and approval status, the identifier and link of a post once published, and the engagement metrics the platform returns for it.
• Technical and log data — standard server logs including IP address, request metadata, and timestamps, kept for security, abuse prevention, and troubleshooting.
• Cookies and local storage — an httpOnly session cookie keeps you signed in. Your browser's local storage holds interface preferences such as sidebar and theme state. See "Use of Cookies" below.

2. Why we collect it

• To authenticate you and keep your account and your organization's data secure.
• To provide the features you use — transcription, summaries, assistant chat, scheduling, content drafting, and social publishing.
• To personalize your experience through memories and your language and time-zone settings.
• To send operational messages such as appointment reminders and account notifications (see Messaging Terms & Conditions below).
• To monitor reliability, debug problems, prevent misuse, and meet legal obligations.

We do not sell your personal data, and we do not use your content or meeting data to build advertising profiles.

3. Where your data goes

• Saltech-operated infrastructure — application data is stored in databases and a vector store operated by Saltech Systems and hosted in the United States.
• AI processing — language models, image generation, transcription, embeddings, and web search run on models and servers operated by Saltech Systems. Your content is not sent to third-party AI vendors for these functions.
• Services you connect — when you link a third-party tool or social network, data flows to and from that service as needed to provide the integration (for example posting a summary to Slack, syncing a task to Asana, or publishing a post to a social network). That data is then also governed by the third party's own privacy policy and terms.
• Service providers — a limited set of vendors help us operate the platform, such as email and SMS delivery for notifications and infrastructure hosting. They may process data only on our instructions.
• Legal and safety — we may disclose data if required by law or to protect the rights, safety, and security of users, the public, or Saltech Systems.

4. How long we keep it

We keep account and content data for as long as your account is active or as needed to provide the service. Server logs are kept for a limited period and then discarded. When data is deleted from our live systems it is also removed from backups on our normal backup rotation.

5. How you delete your data

• Disconnect an integration or social account — on the Integrations page. This deletes the stored access and refresh tokens for that provider and stops any further data exchange or publishing.
• Delete individual items in the app — remove chats, memories, uploaded files, and meetings from their respective pages. You can also turn memories off entirely in Settings.
• Delete your whole account — contact us at cs@saltech.com or the address below and ask for account deletion. Deleting your account cascades to your sessions, chat sessions and messages, memories, and the files you uploaded.
• Timing — we complete verified deletion requests within 30 days, except where we must retain limited information to comply with law, resolve disputes, or enforce our agreements. Backups are purged on their normal rotation after that.

6. Your choices and rights

You can review and update your profile and preferences at any time in the app, opt out of non-essential messages (reply STOP to texts, or contact us for email), and request access to or deletion of your personal data. Depending on where you live you may have additional rights under local law; contact us to exercise them and we will not discriminate against you for doing so.

7. Security

Passwords are hashed, OAuth tokens are encrypted at rest, access to production data is restricted, and traffic is served over encrypted connections. No system is perfectly secure, but we take strong precautions to protect your data from loss, misuse, unauthorized access, disclosure, alteration, and destruction.

8. Children

Saltech AI is a business tool and is not directed to children. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us data, contact us and we will delete it.

9. Changes to this policy

We may update this Privacy Policy as the platform changes. When we make a material change we will update the effective date above and, where appropriate, notify you in the app or by email.

These Terms of Service ("Terms") govern your use of Saltech AI. By accessing or using the platform you agree to these Terms. If you are using Saltech AI on behalf of an organization, you represent that you are authorized to accept these Terms for that organization.

1. The service

Saltech AI provides the features described in "About Saltech AI" above. We improve the platform continuously and may add, change, or remove features. Some capabilities, including real-time social publishing, may be offered as previews and can change or be withdrawn.

2. Accounts and security

• Provide accurate account information and keep it current.
• Keep your credentials confidential and enable two-factor authentication where available.
• You are responsible for activity that occurs under your account.
• Tell us promptly at cs@saltech.com if you suspect unauthorized use.

3. Acceptable use

You agree not to:

• Use the platform for anything unlawful, infringing, deceptive, harassing, or harmful.
• Send unsolicited bulk or spam messages through the platform, or use it to violate any anti-spam law (see the Anti-SPAM Policy below).
• Record or transcribe a meeting without the notice and consent required by the laws that apply to you and the other participants.
• Upload content you do not have the rights to use, or publish content to a connected service that violates that service's terms.
• Attempt to reverse engineer, disrupt, overload, or gain unauthorized access to the platform or its infrastructure.
• Resell or provide the platform to third parties except as expressly permitted by your agreement with us.

4. Your content and connected accounts

You retain ownership of the content you submit. You grant Saltech Systems the license needed to host, process, transmit, and display that content to operate the platform and provide its features to you. When you connect a third-party or social account, you authorize us to access and use that service on your behalf within the scopes you grant, and you confirm you have the rights and permissions to publish the content you schedule and to comply with each platform's terms.

5. AI output

Transcripts, summaries, generated images, drafted posts, and assistant answers are produced by automated systems and may be inaccurate or incomplete. Review AI output before you rely on it, publish it, or share it. It is not legal, financial, medical, or other professional advice.

6. Third-party services

The platform links to and interoperates with services operated by third parties. We are not responsible for their availability, content, or practices, and your use of them is governed by their terms. A link or integration is not an endorsement.

7. Intellectual property

The platform, its software, and its documentation are the property of Saltech Systems and are protected by copyright, trademark, and other laws. Except as expressly permitted, you may not copy, modify, distribute, or create derivative works from them. Saltech Systems’ trademarks may be used only with our written permission. All rights not expressly granted are reserved.

8. Messaging

You agree to receive informational messages (appointment reminders, account notifications, and similar) from Saltech Systems. Message frequency varies. Message and data rates may apply. For help, reply HELP or email cs@saltech.com. You can opt out at any time by replying STOP.

9. Disclaimers

The platform is provided "as is" and "as available" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. Saltech Systems is not responsible for errors or omissions in the platform or this website and may make changes at any time without notice.

10. Limitation of liability

To the fullest extent permitted by law, Saltech Systems will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, data, or goodwill, arising from or related to your use of the platform.

11. Termination

You may stop using the platform at any time. We may suspend or terminate access if you violate these Terms or to protect the platform or its users. On termination, the sections that by their nature should survive will remain in effect.

12. Governing law

These Terms are governed by the laws of the State of Iowa, without regard to its conflict-of-laws rules.

13. Changes to these Terms

We may update these Terms as the platform evolves. Material changes will be reflected in the effective date above and, where appropriate, announced in the app or by email. Continued use after a change means you accept the updated Terms.

Anti-SPAM Policy

This sets forth our policy with regard to the use of "Spam" marketing techniques in connection with Internet Marketing. In the event that we deem you to be in violation of these policies, we shall immediately revoke your membership rights and close any active account. We have a strict policy against spamming. We forbid the sending of unsolicited mass Emails or unsolicited Emails of any kind in connection with the marketing of our programs, products and services.

Use of Cookies

Portions of the Saltech Systems website use cookies to keep track of your visit, or to deliver content specific to your interests. A "Cookie" is a small amount of data transferred to your browser and read by the web server that placed it there. It works as a sort of identification card, recording your preferences and previously entered information. You can set your browser to notify you when you receive a cookie, giving you the chance to accept or reject it.

Data Security

Saltech Systems has taken strong measures to protect the security of your personal information and to ensure that your choices for its intended use are honored. We take strong precautions to protect your data from loss, misuse, unauthorized access or disclosure, alteration, or destruction.
